What you'll do:
CALENDAR MANAGEMENT
- Schedule and manage appointments, meetings, and events for the Lead Pastor - Creative Arts
- Coordinate and prioritize the Lead Pastor - Creative Arts' calendar to optimize time efficiency
COMMUNICATION
- Serve as a primary point of contact for internal and external inquiries
- Handle phone calls, emails, and other forms of communication on behalf of the Creative Arts office
TRAVEL COORDINATION
- Arrange travel plans, itineraries, and accommodations for the Lead Pastor - Creative Arts
- Prepare and submit travel expense reports, ensuring accuracy and adherence to policies
- Coordinate travel arrangements, payments, and hospitality for guest speakers
CONFIDENTIALITY
- Handle sensitive and confidential information with the utmost discretion
- Maintain a high level of confidentiality in all aspects of job responsibilities
DOCUMENT PREPARATION
- Draft, edit, and proofread documents, reports, and presentations for the Lead Pastor - Creative Arts
- Prepare and distribute meeting agendas and minutes
OFFICE MANAGEMENT
- Oversee the day-to-day operations of the Lead Pastor - Creative Arts' office
- Order office supplies and maintain an organized and efficient office environment
PROJECT SUPPORT
- Provide administrative support for special projects and initiatives led by the Lead Pastor - Creative Arts
- Conduct research and compile information as needed
COLLABORATION
- Collaborate with other members of the administrative team to ensure seamless office operations
- Work closely with Creative Arts leaders and staff, as directed
Skills & Experience you’ve had:
- Education: A high school diploma is required; additional education or certifications are a plus
- Experience: Proven experience as an executive administrative assistant or in a similar role
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Communication Skills: Excellent verbal and written communication skills
- Organizational Skills: Strong organizational and multitasking abilities
- Discretion: Ability to handle confidential information with discretion
